Automation of periodic survey launch Elements - Risks - Controls
In this version, a new feature has been added to the GlobalSuite® survey module that allows scheduling the creation and launch of periodic surveys for Elements, Risks, and Controls. Key features include:
- The sending can be scheduled to be done through a publication (anonymously via a unique link) or internally, for which the recipient will need a user with privileges to complete the survey.
- Surveys will be launched based on the scheduled frequency, which can be Monthly, Quarterly, Semi-Annual, or Annual.
- This automatic launch is compatible with the manual creation of surveys, as the next sending date is determined based on the last survey launched.
This feature facilitates the management of risk reassessment processes, control reviews, or the periodic provision of evidence, automating the flow of survey creation and launch to the recipients defined in the configuration.
You will be able to schedule all your risk and control assessments with a defined frequency, and the responsible party will be automatically notified. This will save time on repetitive processes, allowing you to focus on monitoring and continuous improvement.
Survey Configuration
In the configuration section of an RCE survey, the option to activate the periodic launch of surveys has been added, allowing you to choose the sending frequency.
These surveys will be launched based on the initial date manually set (if there are no previous surveys) or the date of the last survey created from that configuration. This way, surveys will always be launched at the same time interval as the previous ones.
Survey Publication
The publication of surveys will be done automatically, maintaining the Comments field defined in the configuration, to include instructions or guidelines for completing the survey.
If a responsible party is set for the survey configuration, this same person will be added as responsible for the publication, being able to track the automatically launched surveys, extend deadlines, review them, and consolidate them with the final data.
Predefined recipients without the need for States
If states or a workflow are not desired for survey management, it is now possible to define in the Survey Configuration who the recipients of each survey will be, leaving them predefined in the configuration without needing to assign them manually for each created survey.
These recipients will be used for the automatic creation of periodic surveys, but they will also be directly assigned when surveys are created manually, so it is not necessary.
The same applies to the Comments field in the configuration, which will be available for internal surveys received by GlobalSuite® users. This field was previously only available for anonymous survey publication, but now it can be used for all types of surveys to add clarifications or instructions for respondents.
