Audit Work Plan

This form allows planning the audit work.

  • Planning Information

    • Work name: It allows you to modify the work record by changing its name.

    • Type: Additionally you can put a specific typology if desired.

    • Supervisor: A pop-up will be opened and it allows you to select a supervisor within the list entered in the tool.

    • Description: A more extensive description of the work can be added if desired.

    • Objetives: It allows to add objectives that have the work described.

    • Applicant: Describe the Planning to which this work that is being configured refers. This is an option that can not be modified.

    • Status: It allows you to assign a status to the work between the following options: Open, Running, Closed.

    • Creation Date: It is the date relative to when the work was created, which it takes by default when it was created, it can be modified.

    • Work team: It allows to select the employees responsible for the execution of the works, several can be selected.

  • Documentation: Additionally in this part it is possible to attach one or several documents.

    • Attach: The documents are added directly by click on 'Select file', and once the file to be uploaded has been selected, click on the ‘Attach’ button.

    • Remove: It allows you to remove a document already associated. To do this, click on one of them and click on Remove.

    • Download: It allows you to download the selected document.

    • View: For pdf files and images, it is possible to preview them in a pop-up screen without having to download it.

  • Execution Methodologies: In this section you can select the methodologies that will be used to execute the audit work. By default, those defined in the Audit methodology appear loaded.

    • Element execution methodology: Through the red button, you can choose the element methodology to be used, among those associated with the audit methodology.

    • Risk execution methodology: It allows selecting which risk methodology will be used in the work.

    • Control Execution Methodology: The control execution methodology will not be chosen directly, but the one associated with the risk methodology will be used.

  • Scope: This table shows the elements included in the work, with the assessment made in the audit plan.

  • Planning - Project Data: This section allows you to carry out a project to plan and monitor the audit work.

If there is no defined project, the following option displays:

  • Create project: It allows to add a project to the work, it can be created from scratch, or to select an existing model. These project models are defined in the Administration panel.

In the case that there is already a defined project, it is possible to make adjustments and follow-up, allowing the user to manage the progress of the work.

  • New: It allows to insert different tasks or subtasks to the project.

  • Remove: It allows to remove different tasks of the project. For this you have to select the desired row and click on the 'Remove' button.

  • Completed: It allows you to check this box when a task has been completed.

  • Download: It allows to create a historical file with the progress of the project.

  • Porcentage completed: It allows you to see the percentage of progress you have of the project

  • Show Charts: It offers the possibility of visualizing different aspects of the project in graphic format, as shown in the following image.

Once the project has been defined, the following columns are offered:

  • Name: Identify the name of the different tasks generated, where the first level identifies the name of the project and the rest of the levels are the different milestones and tasks defined.

  • Type: Identify the typology of the generated task.

  • Supervisor: It shows the supervisor assigned to the accomplishment of the task.

  • Remaining Days: Identify the days left until the task is executed in the defined times. The calculation is made based on the start/end date values.

  • Starting Date: Displays the start date of the task.

  • Completion Date: It shows the completion date of the task.

NOTE: Each of the tasks is modifiable by clicking on the name.

  • Project (First Level): Si pulsamos sobre el nombre del proyecto se muestra un formulario sobre el que podemos definir los siguientes puntos:

Project Data

Ofrece la posibilidad de establecer el Nombre del proyecto así como, la fecha de inicio y fin, en base a la cual se van a calcular todas las tareas definidas.

Planning

The planning section allows you to define the costs associated with the project, being able to define the following parameters:

  • Budget: It allows you to define the budget associated with the project.

  • Estimated Cost/Consultant: It offers the possibility of defining the cost of the consultant team associated with the project, being able to define the costs/Time and the estimated hours of work, with which the tool automatically calculates Cost/day and Project of the consultant.

  • Estimated Expense: It allows defining the types of costs that are defined in the Administration/Projects' option, the economic amount that the concept implies in the project.

  • Planning Overview: It offers a summary of the information identified in this section, highlighting the benefits or losses of the project.

This option shows a detailed summary of the information defined in the previous section, highlighting the benefits or losses of the project.

Monitoring

  • Tasks (Levels): When you click on a task, the modification options are the following:

Task Data

  • Name: It allows modifying the name of the task.

  • Completed: The option indicates whether the task has been completed or not.

  • Description: It allows you to write a more extensive description of the task.

  • Application Date: It offers the possibility to define the date in which it is requested that the task must be completed

  • Scheduled Starting Date: It allows you to define the estimated start date of the task

  • Scheduled Completion Date: It allows to define the estimated date of completion of the task

  • Real Starting Date: It defines the date of start of the task

  • Real Completing Date: It establishes the definitive date of the end of the task

  • Type: It makes it possible to indicate the typology of the task.

Documentation

This section offers the possibility of identifying and associating documentation related to the task to be performed. To do this, click on the 'Add' button, which generates a new entry in the table. To modify the name of the document, click twice on the desired cell. If you want to delete an associated document, you have to select the desired row and click on the 'Delete' button.

Monitoring

This option allows you to impute the following concepts in the selected task, such as:

  • Time period: It allows to allocate the times dedicated to the realization of the task, being able to define the name of the concept, the associated typology, the hours dedicated, the associated auditor and observations.

  • Costs: It offers the possibility of allocating the expenses associated with the task, being able to define the name of the concept, the type of associated expense, the economic amount and observations.

NOTE: The times and expenses associated with a task will be reflected in the Project section.
