Alerts Configuration
In this section you can configure the alerts which are available for the employees of the company.
These are the alerts which GlobalSUITE:
Notice of termination of the Treatment Plan actions:Send an email to the address defined when an action in the risk management plan has ended.
Daily Notifications: It notifies about the outstanding tasks which have been generated in the platform daily.
Weekly Notifications: It notifies about the outstanding tasks which have been generated in the platform weekly.
Montly Notifications: It notifies about the outstanding tasks which have been generated in the platform montly.
Notice of contract termination 7 days before: It notifies about the contracts which will finish in a week or less. It will only send an alert, if there is a contract in this situation at least.
Notice of contract termination: It notifies about the contracts which finish the current day. It will only send an alert, if there is a contract which finishes on the current day.
Latest news notification: It sends an alert each time that there is a latest new in GlobalSUITE.
Add Records to Metrics: It sends an alert each time that you must add new records to a metric according to the frequency defined. Currently, it sends an alert for each defined metric which must be updated. This e-mail is also received by the metric supervisor.
Documentation Propagation: It sends an alert when the documentation has been propagated to one entity to another. The Employees of the organization, that have enabled this alert, will receive a warning mail.
Workflows Propagation: This alert is sent when a documental workflow has been propagated. The Employees of the organization, that have enabled this workflow, will receive a warning mail.
Change Workflow Status: The alert corresponds to the notices that are sent in case the status of a document changes, a new document is uploaded, or the version of the document is changed. The employees who receive the notice are those who are associated with the new status of the document and are configured in this alert. The notification is sent at the time the status change occurs.
Objective Follow-up: It sends an alert when the assessment of the objective is performed and when it's established the value.
Follow-up of controls of the treatment plan: It sends an alert when a status of the control, which is incluided in the Risk Treatment Plan, is modified.
Reminder of outstanding tasks: Daily alerts are sent in order to remember outstanding tasks to the a user
Notice change status Document: Sends an alert when a state change is made in the active version of a document stored in the Document Manager, a new document is uploaded, or its version is changed. This alert is in addition to the notifications of those responsible for the approval Workflow ("Change Workflow Status" alert).
Compliance with the Controls deadline (Controller): Send an alert to the person in charge of a control when the term established in it is fulfilled. In order to receive the notification, the person in charge must be associated with this alert.
Compliance with the Actions term (Controller): Send an alert to the employee responsible for an action when the deadline established in it is fulfilled. In order to receive the notification, the person in charge must be associated with this alert.
Compliance with the Actions term (Controller for the control associated): Sends an alert to the employee responsible for a control when the deadline set in any of the actions of such control is met.
Notice of modification of the Risk Analysis by the Item Supervisor: Send an alert to the Item Supervisor (defined in the Inventory option) when any modification occurs on any of the risks identified for that item in the Risk Analysis.
Notice of modification of the Evaluation of Controls by the Item Supervisor: Send an alert to the Item Supervisor (defined in the Inventory option) when any modification occurs on any of the controls applied to item risks.
Notice of Consolidation of Surveys by Item Managerial Supervisor: Send an alert to the Services Supervisor (defined in the Service Catalog option) when consolidate surveys of Elements, Risks and Controls that affect elements that are under those services.
There are two possibilities for configuring the sending of warnings/alerts in GlobalSUITE:
Selecting an employee of the employees list of the company. For this you have to follow these steps:
Select the employee in the drop down menu. In this menu it appears solely the employees created in the section ‘Management/Employees’. The employee should have an associated e-mail for the effectiveness of the alert.
Select one alert of the table on which you want to associate with the employee and click on the button ‘Insert’.
Indicate an e-mail account not associated with an employee. For this you have to follow these steps:
Select one alert of the table on which you want to insert the e-mail account.
Click on the button ‘New’ and it will appear this emergent window.
Indicate a name for identifying the manual warning/alert and the e-mail account which will have associated. When you click on ‘New’, it will offer the possibility for creating a new employee according to the name and e-mail previously indicated.
Finally, it’s possible that you can stop anytime the sending of warnings/alerts to your employees or contacts manually, for this you shoul click on ‘Yes’ on the line you want to deactivate of the column ‘Active’.
