Indicators

This option of GlobalSUITE allows you to establish those measurements of follow-up which will offer the functioning and the performance of the Management System as well as the support of the Specific Objectives defined.

In the main screen you find the list of indicators which have been defined.

The fields State and Trend indicate the evolution of each one of the indicators.

-State: It indicates that if the last value obtained is better which the target value defined for each indicator, and informs in case it improves, worsens or maintains.

-Trend: It establishes if the value obtained is better which the previous value.

-Last value: Indicates the last value that has been applied.

-Last date: Indicates the date on which the last value was updated.

Besides, you have the following options in this screen:

  • New: It allows you to generate a new indicator.

  • Remove: It allows you remove indicators which have been generated before.

  • Catalog of Indicators: It allows you to select and associate indicators proposed automatically by GlobalSUITE.

  • Download: It allows you to download the full list of indicators which has been defined.

In case you use the option ‘Catalog of indicators’, it will appear an emergent screen with the indicators organized by categories. All those indicators will be considered for measuring the efficiency of the management system and the specific objectives. IT must be selected in the left column. Once selected, you click on the button ‘Associate’ in the left part of the window and it will be loaded automatically.

Once associated, it will appear the list of indicators in the main screen.

NOTE: For each indicator created onward the Catalog, it will be generated automatically a metric with the same name.

For defining or reviewing the indicators which are established, you have to click on the name and a graphic will be shown (with its options):

Graph

The graph shows the measurements which have been done and each measurement associated with the date when it has been proceeded to review, as well as the objective value of the indicator and the graphic representation of the measurements.

Indicator Data

  • Name: It allows you to determine the name of the indicator.

  • Date: It establishes the date onward the measurements are collected.

  • Recollection Frecuency: It determines the frequency you have to carry out the measurements

  • Formula: It allows you to determine from which metrics is obtained the value of the indicator.

For defining the formula from which the indicator data are obtained, you have to click on the red circular image with an exclamation mark and it will appear a new emergent window.

The steps you must follow for determining the formula, which the indicator values have been obtained, is done through the following options:

  1. Select the metrics which provide the data which are needed for obtaining the indicator values.

  2. Once selected the metric, it’s necessary to click on the option ‘Pass metric’, and the metric will be located on the right column.

  3. Once selected all the metrics which the indicator values provide, it’s possible to edit the column and generating the appropriate formula.

  4. Once defined the formula is needed to check if GlobalSUITE recognizes it. For these tasks you have to click on the option ‘Validate Formula’.

  5. Once detected, a text will be generated on the right column verifying what the formula is valid.

  6. Once validated you must proceed to save with the purpose which will be defined as the formula where the values of the associated indicator are obtained.

NOTE: To associate a metric with a specific indicator it’s necessary which both items share the same periodicity

  • Description: It allows you to clarify or include any information that can be useful for doing the specific measurements.

  • Deviation Causes: It establishes the causes which don’t comply with the values determined for the indicator.

  • Actions if there is a deviation: It allows you to determine how you will act in case it doesn’t comply with the values determined for the indicator.

  • Possible effects: It establishes what can happen if there are deviations

  • Control Target Determina qué objetivo se quiere conseguir al controlar la actividad que corresponda con el indicador.

  • Select Coordinator of the Indicator It determines if the employee corresponds with a person which is subscribed in the employees management of GlobalSUITE® or if it’s an external person, where the options ‘Manual’ will be selected.

  • Head Coordinator (Employees) It establishes which employee is subscribed in GlobalSUITE® and it’s the coordinator of managing & reviewing the values obtained by the indicator.

  • Weight It determines the importance which has the indicator defined on the achievement of specific target that supports it.

  • Target Value: It establishes the value onward it is considered that the actions realized with respect to the activity, it has been effective.

  • Type of Target Value: It determines how must act the results of the measurements with respect the target value obtained.

The options, which are provided by GlobalSUITE, corresponds with:

-Overcome the target.

-Equilize the target.

-Do not exceed the target.

  • Specific Target It allows you to associate the specific target on which the indicator is related.

  • Scale: It establishes among the values on which the graph must be represented on the section ‘Graph’.

  • Affected Areas It determines which areas are affected or influenced by the indicator.

  • Services: It determines which services are affected or influenced by the indicator.

Assessments

These options allow you to determine for what values of the data obtained are acceptable or not. On the same way it allows you to generate records of the assessment previously done.

  • Non-acceptable: It determines for which range of values are the data obtained are not acceptable.

  • Aceptable range: It determines for which range of values are the data obtained are acceptable.

  • Ideal range: It determines for which range of values are considered as ideal the data.

  • Assessment: It allows you to record the evaluations of the data.

NOTE: The scales of the ranges, which are provided by GlobalSUITE, are fixed and managed from the tab ‘Scorecard’ of the option ‘Configuration’.

GlobalSUITE has the following options in the section ‘Assessments’:

-Recalculate: It allows you to generate an assessment automatically.

NOTE: This options allows you to generate a new assessment, provided that it has been included a new value in the indicator. If it hasn’t been included a new value, this option doesn’t make any calculation.

-Remove: It allows you to remove an assessment previously generated

-Send an e-mail: It allows you to send an email and it will include the assessments done before.

The fields defined in this section are:

-Name: It corresponds with the name of the assessment done.

-Fecha: It indicates the date of the realization of the assessment

-Description: It allows you to complete the assessment with any complementary information that will be necessary.

-Value: It corresponds with the valued obtained from the indicator.

-Status: The value establishes if it is a better value than the target value defined of the indicator

-Trend: It establishes if the value is better than the previous value.

-Scale: It indicates on which range is located the specific value of the indicator.
